    Payroll Coordinator


    Duration: 2 months (covering leave of absence)

    Pay: $25-$33/hr (W2)

    Setting: In Office 5 days/wk in Downers Grove, IL


    Our Western Suburbs client is looking for a dedicated and detail-oriented payroll professional to cover a leave of absence. It is unlikely this role will extend beyond the 2 months, but you'll be at the forefront of ensuring smooth payroll operations across multiple states, utilizing advanced systems like Oracle to manage high volumes of employee data and payroll transactions.

    The Payroll Coordinator processes semi-monthly payroll for our client's employees as part of a national, centralized payroll department, and the duties are as follows:

    1. Prepare and upload and/or enter a high volume of employee data, including hourly / salary data and tax data, using the Oracle payroll system.
    2. Work with the rest of the payroll team to meet published deadlines for payroll processing.
    3. Process and distribute checks for a multi-state payroll using an in-house Oracle system.
    4. Process manual payroll checks as requested/required.
    5. Handle incoming phone calls and e-mail inquiries from Human Resources contacts and employees regarding payroll issues. Act as a customer service agent to resolve problems in a timely and effective manner. Elevate issues as appropriate to Payroll department management.
    6. Provide backup support to other team members in the payroll department.
    7. Adhere to the highest degree of professional standards and strict confidentiality in matters that require discretion.
    8. Prepare journal entries for entry / upload into the CMS financial system.
    9. Ad hoc and recurring monthly projects as assigned, including performing payroll account-related reconciliations, assisting with testing for system upgrades and enhancements, assisting with the payroll close process, etc.
    10. Assist in maintaining payroll electronic and paper files.
    11. Attend professional development and training sessions regularly.
    12. Perform other job-related duties as necessary.


    Qualifications and Requirements

    1. Associate’s degree preferred, accounting coursework a plus.
    2. 2+ years of payroll experience, multi-state payroll experience preferred.
    3. Must be customer service-oriented with a commitment to timely and professional customer service.
    4. Experience with Lawson or an automated payroll system is preferred.
    5. Proven experience in handling highly confidential and highly sensitive information.
    6. Intermediate level Excel skills (create spreadsheets, sort data, create pivot tables, use VLOOKUP functionality, program formulas), intermediate level Word skills.
    7. Excellent oral and written communication skills.
    8. Must be able to work under payroll deadlines.
    9. Strong attention to detail.
    10. Ability to work additional hours as needed
